Why a spreadsheet is not the only way in

Many people looking for a flashcard app with Excel import already have their terms in a spreadsheet, but the spreadsheet itself is rarely the best study format. Rows of terms and definitions work better as question-and-answer cards that you test yourself on.

  • Spreadsheets are not read directly, so export to PDF or paste the rows as text.
  • Keep each term and its definition on the same line so the cards pair them correctly.
  • Review the generated cards and remove any that duplicate or misread a row.
  • Use spaced repetition so a long list does not need to be reviewed in one sitting.
Example Excel formula flashcards to study before importing
What does the fourth argument FALSE do in VLOOKUP?It forces an exact match, so the function returns #N/A instead of an approximate match when the value is missing.
What is a CSV file?A plain-text file where values are separated by commas, one record per line, which Excel can open.
What does Data > Text to Columns do?It splits one column of text into several columns using a delimiter such as a comma, tab or space.
What does Remove Duplicates do in Excel? It deletes repeated rows in the selected columns and keeps the first occurrence of each.
Why should a spreadsheet have one header row?The header names each column, so tools that map data to fields can tell terms from definitions.

Paste rows as text

Copy terms and definitions from a spreadsheet into plain text and generate cards from them.

Upload a PDF export

Save your sheet as a PDF and upload it along with slides, DOCX files or photos of printed pages.

Spaced repetition review

Cards come back at the intervals your memory needs, so older rows keep getting reviewed.

Frequently asked questions

Can DeckOwl import an Excel (.xlsx) file?

Not directly. DeckOwl accepts PDF, DOCX, PPTX, plain text notes and images, so export the sheet to PDF or paste the rows as text.

How should I set up a spreadsheet before turning it into flashcards?

Use one term and one definition per row, with a single header row and no merged cells. Clear, short pairs produce cleaner cards and easier review.

How many flashcards should I study in one session?

Shorter daily sessions usually beat one long cram, so study a manageable batch and let spaced repetition bring back the rest over time.

Is spaced repetition free?

Spaced repetition is part of the Plus plan at $39/year or $7.99/month. The free plan includes 3 generations per month and browser study, but no exports.
